
Terms and Conditions
When you pay for any of the services with Head Start tutoring you agree to the terms and conditions set out.
The terms and conditions are valid for all tuition sessions (both face to face and online; unless otherwise stated) from the 1st September 2022. Head Start Tutoring reserves the right to make changes to these terms and conditions. However, clients will be notified in advance to any changes being made.
Tutoring sessions and payment
Tutoring sessions last one hour and take place weekly during school term-time at the rates mentioned on the website. Sessions are paid prior to lessons on the first of every month via bank transfer. Once lessons are paid for, refunds will not be issued for any missed sessions instead will be arranged for in the next invoice if cancelled 24hrs before the scheduled session.
Holidays and School holiday /half term breaks
Head Start tutoring strongly recommends that holidays are not booked within term time to ensure consistency with learning. However, minimum two weeks’ notice is required for holidays within term time.
It is important that children get some break from learning during holidays to give them the headspace and rest needed. Therefore, only online lessons will be available during some of the holiday period. Head start tutoring will release the dates available for each holiday period. Sessions will have to be pre-booked and are chargeable at the same rates mentioned above.
Cancellations
​​Cancelled/missed sessions are non-refundable, however with medical emergencies and with at least 24hours notice; Head Start tutoring will attempt to offer an alternative lesson only if possible. This is at the discretion of the tutor (Hetal Trivedi) and is not a regular arrangement.
In the rare occurrence that lessons are cancelled by the tutor (Hetal Trivedi), the lesson will be rescheduled on a different time/or day.
If you wish to completely cancel the tuition contract and lessons, the client must give at least FOUR WEEKS NOTICE in writing or email. Note: If you cancel before the end of a month of lessons; you will not be refunded the remaining weeks left.
Online lessons and Google Classroom
Online lessons will take place via zoom. During online lessons, the client/parent must be present around (but not visible). This is so that if any connection issues arise, they can sort them out for the student. They must not participate in the lesson or distract the student in any way whatsoever.
During the online lesson, the student/child must not tamper with the mute button; or any equipment that will disrupt the overall flow of the lesson.
If there are connection issues, the student/child should use the ‘chat facility’ on Zoom to notify the tutor by typing to them that there is a problem; or they should inform the client/parent as soon as possible to try and rectify the issue. The client/parent/student should communicate via telephone if the connection is completely lost as soon as possible. If connection issues continue for longer than 15 minutes (whether that is on the tutor’s internet connection or with the student's or client's connection); the tutor reserves the right to end the lesson and then reschedule it at another time mutual to both the tutor and the parent/client/student.
All online work and homework are shared between the tutor, student, and client/parent via Google Classroom. The ‘classroom’ is exclusive only to these people and any worksheets or other details should not be shared with any other parties. (To avoid Data Protection issues).
Homework/Extra Work
In order for the student to progress, it is sometimes necessary that a short amount of homework or extra work is set. This is usually a small quantity of work and typically involves finishing off work done in the lesson. If the client/parent does not wish the student to have any extra work such as this; they need to communicate this to the tutor (Hetal Trivedi).
Whether it is homework for online or face-to-face lessons all homework/extra work is marked at the beginning of the next lesson and feedback is given live.
For my 11 plus pupils, regular practise is the key to success, therefore homework will be set after each session to keep the practise going. Sometimes I may also ask that specific practice books are purchased and that you support your child as they work regularly from these at home. I will give guidance on the use of these books in our sessions. Whenever this is applicable, I ask that all practise books be available at sessions so that I can keep track of the work that is being completed at home.

Notice period
For sessions paid for in advance, and in the event you wish to end our tutoring arrangement, I ask for the month to be completed. No refunds will be possible if you wish to stop tutoring sessions part-way through a month.

Feedback
For individual sessions, I can give a quick verbal feedback at the end of each session, either face to face or online at your request. Further meeting will be arranged with parents only under special circumstances.

I hope that the information I provide each week, verbally, will keep you informed of your child’s achievements and progress. However, if at any point in the year you wish to discuss any aspect of your child’s progress in more detail, please make contact and I will be happy to address any individual issues, concerns, or questions.

In instances where I am working with your child towards a test or exam, I am unable to make any guarantees regarding the outcome of these tests or exams. I will always do my utmost to ensure that your child is as prepared as possible but can make no assurances that the work your child and I complete together will result in the desired outcome.

Photographs and Recording
For in-person lessons, the tutor (Hetal Trivedi) may take photographs of the work produced or done together. The images will be used in accordance with the privacy statement and the permission given on the student registration form.
For online lessons, students are expected to have their cameras on, unless previously discussed. Students do not have permission to record lessons. For group classes, the tutor may choose to record lessons (eg. for the benefit of any absent students). Any audio or video from individual students will be removed before distribution or used in accordance with the permissions given on the registration form. Attendance to any lessons will be recognised as full acceptance to these terms.
